Security and Privacy

Q: Where are my AI-Doc documents stored?

A: When in production your AI-Doc documents are securely stored within your company’s private cloud storage. Celiveo does not have access to this storage or any of your data, ensuring your information stays completely private. If you have questions regarding your company’s specific cloud storage policies, please contact your IT administrator.

Q: How are my AI-Doc documents kept secure?

A: Your AI-Doc documents are strongly encrypted while they are stored in the system. They are only unlocked in real-time when an authorized user chooses to download them using the Celiveo 365 AI Agent. For more details on your company’s security and encryption standards, please reach out to your IT administrator.

Q: Are my AI-Doc documents used to train public AI models?

A: No. Your AI-Doc documents are completely private and are used only to help answer your specific questions. They are never shared or used to train public AI models. If you have any concerns about AI privacy, please contact your IT administrator.

Q: Can my IT administrator read all of my AI-Doc documents?

A: No. While your IT administrator manages user accounts and department access groups, they do not have a “super-user” ability to read the contents of your private documents. Access is strictly limited to authorized users. If you have questions about file privacy and access levels, please contact your IT administrator.

Usage and Functionality

Q: Can I see AI-Doc documents created by users in other departments?

A: No. You can only search for or view documents assigned to the same access group (“Cohort”) de defined by the IT administrator. This keeps departmental information secure (for example, HR documents are only visible to HR). If you need access to another department’s documents, please request it from your IT administrator.

Q: Can I ask the AI-Doc Agent questions in languages other than English?

A: Yes. The AI Agent allows you to ask questions naturally in your own local language. If you experience any issues with language support or translations, please contact your IT administrator.

Q: What types of documents can the AI-Doc analyze?

A: The AI can analyze any document that you send through the Microsoft Universal Print system. If a specific document format isn’t working or if you need help connecting to the print system, please reach out to your IT administrator.

Q: Can I manage my AI-Doc documents directly from the printer screen?

A: Yes. If your company’s printers are equipped with Celiveo, you can log in directly at the printer to print or manage your files. However, asking the AI questions about your documents is only available through Microsoft Teams. For assistance with using the physical printers, please contact your IT administrator.

Q: How do I update a AI-Doc document that I’ve already uploaded?

A: To update a document, simply submit to your AI-Doc Print Queue the newest version. To prevent the AI from giving you duplicate or outdated answers, we highly recommend using the List and Delete DocumentName command to remove the older versions. If you need help managing or updating your files, your IT administrator can assist you.

Lifecycle

Q: What happens to my AI-Doc documents when they expire?

A: Once a document reaches your company’s time limit for storage defined by the IT Administrator, it is permanently deleted from the system and can no longer be searched or downloaded. If you need to know the specific storage time limits for your files or need to adjust retention policies, please contact your IT administrator.

Q: What happens if I misspell the file name when trying to delete a AI-Doc document?

A: The delete action will simply fail. The system requires you to type the exact file name to prevent you from accidentally deleting the wrong document. We suggest using the List command first to check the exact name. If you are still having trouble deleting a file, please contact your IT administrator.

Q: Why does the AI-Doc Agent say my corporation is not allowed to use the application?

A: This message appears if your account or company does not currently have an active subscription or the correct licenses assigned for these AI features. Please contact your IT administrator so they can update the company’s subscription or configure your access permissions.

Troubleshooting

Q: I am in the correct user group, but I cannot find a AI-Doc document I recently uploaded.

A: This usually happens if the document was uploaded before your group permissions were fully updated in the system. Documents are securely tagged with access rights at the exact moment they are uploaded. To fix this, simply try uploading the document again. If you still cannot find it, please contact your IT administrator to ensure your group permissions are set up correctly.
